including Photo/Video consent

In the course of my work, I need to gather and use certain information about individuals and members of groups that I work with.  This policy describes how this personal data will be collected, handled and stored to meet data protection standards, protect the rights of my clients, and comply with the law.

I may keep and use the following personal information about individuals and group members, who are over 16 years of age, for the purposes of passing information and occasional marketing purposes within my own organisation:

Full name, postal address, telephone number and email address.

I may also keep and use photographs and video footage of clients taking part in musical activities, which may be published on my website or related social media pages.  Names and personal information will not appear online with images or video.

This information, including images, may be stored on paper within my home office or electronically on a password-protected computer, tablet or smartphone.

I will not share personal data with any other individual or organisations, without the consent of the individual to whom it relates. Emails will be bcc’d to groups unless consent is given by each member of the group for their email address to be shared within the group only.

In the event that my business ceases to trade, or I no longer work with individual clients or groups, all related personal data will be destroyed or deleted.  Images and video may be kept but names and personal data will not be referenced.  Any security breaches or loss of data will be reported to the relevant authorities.

Any individual has the right to request to see what information I hold about them.  If such a request is made, I will comply within 28 days and no charge will be made.  Any individual has the right to complain to the Information Commissioner’s Office if they think there is a problem with the way I am handling their data.
